Printing and customer communications
Workflow action buttons can print documents and send emails in one step. Your manager configures which prints and emails fire per action in Job Repair Workflow Settings; defaults come from Job Settings.
What gets printed
| Document | Typical use | When printed |
|---|---|---|
| Job Card | Workshop bench reference — fault, customer, job number | Confirm Booking (and other actions if configured) |
| Booking Slip | Customer receipt at drop-off — terms, contact, job reference | Confirm Booking |
| Unit Label | Sticker on the device — barcode/QR for scanning on the floor | Confirm Booking |
Print formats are standard ERPNext Print Format records. Defaults are set in Job Settings (Job Card, Booking Slip, Unit Label). Managers can attach multiple formats per workflow action.
Reprint anytime from the Job form Print menu — you do not need to repeat the workflow action.
Workflow emails
These actions have built-in email handlers (when enabled on the action):
| Action | Email purpose |
|---|---|
| Confirm Booking | Booking confirmation with job reference and next steps |
| Send Quotation | Quotation PDF to customer email on the job |
| Notify Ready for Collection | Unit ready — collection or delivery instructions |
Other actions can send generic action emails if configured in workflow settings.
Contact details required
Emails need email or mobile on the job (from customer or entered on the job). If Confirm Booking warns about missing contact, add email or mobile before retrying.
SMS and WhatsApp are not in v1 — staff record WhatsApp approval in Approve Quote manually.
Approve Quote — customer communication
When the customer accepts the quotation outside email (phone, WhatsApp, in person):
- Click Approve Quote on the job.
- Choose approval method and optional note.
- System saves how they approved — useful for disputes later.
Send Quotation still emails the PDF when contact email exists; approval is a separate staff-recorded step.
Label and QR options
Job Settings controls barcode/QR on unit labels (job number scan on the bench). Ask your manager if labels fail to scan — print format or field mapping may need adjustment.
Front desk checklist
| Moment | ||
|---|---|---|
| Customer drops off unit | Booking slip + unit label for bench | Booking confirmation |
| Quote ready | Optional quotation hard copy | Send Quotation |
| Repair finished | Optional invoice copy at desk | Notify Ready for Collection |
| Customer collects | None required | None — payment at desk |
Technician notes
Technicians rarely trigger customer emails — assessment and repair actions focus on internal milestones. If you need the customer contacted, hand off to front desk for Send Quotation or Notify Ready.
